When managing underperformance a useful tool is a performance improvement plan or PIP for short. A PIP can be used to support performance improvement before you enter a formal process. The HR Connect team can advise on when best to use a PIP.

A well constructed PIP can help focus a direct report on the actions they can take to turn around their performance.

PERFORMANCE IMPROVEMENT PLAN

Name: John Smith Department: Sales Manager: Freddy Heineken

Objective/Competency In what area is an improvement required?

Performance shortfall Describe current performance

Performance standard/target Required level of performance

Training/Coaching required Discuss, consider & detail what is to be provided and when

Progress against standard/target Date and summary of progress

Organisational skills difficulty organising daily workload and meeting deadlines

Three deadlines missed: Quarterly sales submission to finance due 4th July

Mid year review deadline missed

Request to ensure project handover noted, completed by end of June - Project handover deadline resulted in complaint from head of supply chain and a delay to the project.

To meet deadline set by business this means the prioritisation of tasks, responding to emails in a timely fashion and where there may be circumstances that could impact on the delivery/ meeting of a deadline that you communicate in advance with the appropriate stakeholder and your line manager to agree an extension.

Start a daily and weekly to do list. Ensure key tasks are prioritised on your daily list and your time ring-fenced to achieve these tasks. Complete the online training module on time management available on iLearn.

Accuracy errors in completing forms

Error rate in sales forms submitted to the admin team. 16 of 80 orders submitted in May contained the wrong quantities and 15 of 74 orders in June, resulting in the wrong volumes being delivered to the customers. This is approx. 20% of all orders delivered that have errors.

To spend more time ensuring the forms submitted to the admin team contain the correct information. No more than 5% of forms submitted should contain errors.

Take an extra minute with each form to review and ensure contents are accurate.

Failure to reach required performance levels may result in progression through the performance improvement policy.
