Effective stakeholder engagement is critical for the success of
any project , including FFCs . This downloadable file outlines a
structured approach to identify stakeholders , clarify roles and
responsibilities , and assess their needs through three key steps with

1 . Clarify Who Should Be Involved
This step involves creating a Participation Assignment Matrix , which maps
project goals against identified stakeholders . By listing objectives vertically
and stakeholders horizontally , teams can visualize who is responsible for each
task . For example , in a coffee machine operation scenario , stakeholders
such as logistics personnel , users , service personnel , and disposal personnel
are identified for various tasks like delivering , unpacking , assembling , and
disposing . This matrix helps ensure all necessary participants are
acknowledged and assigned to relevant tasks , facilitating a clearer
understanding of project dynamics .
2 . Clarify Responsibilities and Roles
In the second step , a Responsibility Assignment Matrix ( RACI chart ) is utilized
to define responsibilities for each task among stakeholders . Each task is listed
alongside the roles of those involved , categorized as Responsible ( R ) ,
Accountable ( A ) , Consulted ( C ) , or Informed ( I ) . For instance , service
personnel may be responsible for delivering the coffee machine , while
logistics personnel ensure it is delivered correctly . This clarity delineates
expectations , minimizes confusion , and ensures everyone understands their
specific roles within the project .
3 . Clarify Who Needs What , When , and to What Detail
The final step employs an Influence - Interest Matrix to assess the needs of
stakeholders based on their level of influence and interest in the project .
Stakeholders are categorized into different quadrants , indicating how they
should be managed This matrix helps prioritize stakeholder engagement
strategies ensuring that communication is targeted and tailored to each
group s needs Regular updates to this map throughout the project are
essential for maintaining effective relationships and addressing stakeholder
concerns
